Cisco’s Executive Talent Acquisition COE is responsible for developing global strategies to hire exceptionally talented senior leaders. This includes providing Hiring Managers and candidates with high-touch and compelling experiences during the recruitment and hiring process. We're focused on building a scalable operation while working collaboratively and cross-functionally with key leaders across the company to develop creative and innovative solutions that support and sustain Cisco's growth.

Reporting to the Head of Executive Coordination, the Executive Coordinator is responsible for the administration of employment processes in accordance with Cisco's hiring guidelines and policies. S/he will provide support to the Executive Talent Acquisition function in various, internal/external-facing aspects of employment from coordinating/scheduling all phases of interviews through the offer process and on-boarding. In this role s/he will interface w/the Executive Recruiters, Hiring Managers, Executive Assistants, HR Partners and potential VP+ candidates/applicants. The Executive Coordinator will contribute to the overall success of the Executive Talent Acquisition function by providing a high level of customer service and quality throughout the Recruiting Process.

Responsibilities:

  • Interview scheduling (internal and external candidates)
  • Candidate Tracking (applications and feedback links) within Cisco’s Applicant Tracking System (Avature)
  • Scheduling and arranging candidate travel 
  • Escort VP+ candidates as needed during on-campus interviews, arrange escorts for remote campus interviews
  • Ensure candidate tracking is compliant and accurate within Cisco’s Applicant Tracking System (Avature) to facilitate timely hires 
  • Act as a point of compliance check for interview feedback prior to offer submission to ensure a quick offer turnaround
  • Initiate background checks for external candidates
  • Forward background check results to appropriate recruiter and notify candidate of completion
  • Create offer letters and set necessary approval paths 
  • Act as an “advocate” and point of contact for candidates once offer is accepted 
  • Collect and review signed offer documents
  • Perform Board activity in Avature
  • Send out New Hire Welcome Kits to external new hires 
  • Build cohesive relationships with E2E Staffing organizations to ensure all new hire activities are accurately completed and issues are identified and resolved at the earliest possible opportunity
  • Track new hire data entry 
  • Liaise with hiring managers to ensure they are preparing for new hire day one start – i.e.:
    • Laptops ordered
    • Workspace assigned
    • Phone ordered
    • Manager assigned point person for new hire first day 

Experience/Skills Required:

  • Must be detail oriented, possess exceptional organizational and follow through skills, have the ability to multi-task, and manage the demands of simultaneous processes while still operating with a sense of urgency and thoroughness
  • Must be capable of managing multiple work priorities effectively, in order to meet tight deadlines is a must
  • Must have previous experience working in an administrative or coordination capacity within an HR/Recruitment environment, interfacing mostly at the VP+ level
  • Since this role handles very sensitive candidates and information, the ability to maintain a high level of confidentiality is imperative
  • Must have the ability to work as part of a team, and provide flexible and efficient service 
  • Expertise with MS-Outlook and appointment scheduling experience required
  • A high attention to detail is of utmost importance
  • Must exude executive presence, confidence and knowledge of Cisco
  • Proven experience providing interview scheduling support in a fast-paced environment is required 
  • Must have strong verbal/written communication, as well as, computer skills 
  • Deep knowledge and understanding of the VP+ recruitment process is required
  • Significant experience w/Cisco’s internal VP+ senior leadership and their administrative support is also required
