JOB SUMMARY:
Coordinate and supervise the daily operations of support and office services
The position requires the use of discretion and independent judgment at least 80% of workday. This position provides oversight to lower level administrative staff.
EDUCATION:
High school diploma or equivalent required
Associate’s degree in Business, Management, or Human Resources required
Bachelor’s degree in related field strongly preferred
EXPERIENCE:
2 + years of Office Supervisory experience
SKILLS REQUIRED/DUTIES ASSIGNED:
- interact with all levels of employees, property management, and external vendors
- ensures meeting rooms are in order
- provides support for meetings, and company events
- completes weekly building walkthrough to identify maintenance needs, and address accordingly
- submits building maintenance service tickets, and coordinates maintenance activities
- completes general maintenance repairs to furniture and building
- leads special projects for office updates or repairs
- coordinates internal office moves, and updates seating assignment spreadsheet
- completes monthly audit and update of seating assignment spreadsheet
- manages the card access system, and office key assignment following building access protocols
- manages building and employee signage updates
- assists in the mail room and provides backup as needed
- assists facilities manager with planning and implementation of organization and departmental goals
- other duties as assigned
- lease abstraction : critical dates, payment schedules, lease clauses
- real estate database administration : new property set-up, new vendor / contacts, data entry / updates
- monthly rent statement processing
- track receipt of lease documents and maintain physical & digital files; point person for COI requests
- open, sort incoming real estate mail
- point of contact for field office utilities
- customer service minded, task oriented self-starter
- organized with exceptional attention to detail
- ability to prioritize responsibilities
- ability to lift and move up to 50#’s
- team player
- excellent written and oral communication; understanding of commercial lease language
- working knowledge of MS Word & Excel
