Executive Assistant

This position will provide advanced administrative support to VP level or C-level position.  Makes independent decisions on a daily basis and deals frequently with highly confidential information

JOB SUMMARY:

Provides administrative/analytical support; specific operations/support role; project driven; exhibits some technical skills; provides some leadership and development of others 

RESPONSIBILITIES:

Freedom to act/Accountability:

  • Guidance given: Assignments are received in objective oriented terms.  Provides guidance to subordinates based on organizational goals and company policy
  • Policy involvement: Follows operating policies.  Interprets organizational policies

Supervisory/Relationship:

  • Accomplishes results through combined effort of team. Follows the structure of organizational units or a centralized functional activity.  Often responsible for supervising a staff function of company

Direct Work Involvement/Complexity: 

  • Establishes productive working relationships with administrative and management staff
  • Acts as liaison between executive and corporate/field staff
  • Provides advanced level administrative support to executive level position
  • Responsible for all projects assigned to team. Help meet established schedules and resolve technical or operational problems.  Follows centralized functional projects.
  • Screen and direct incoming phone calls, following proper protocol
  • Assists in maintaining the integrity of departmental or office data
  • Coordinate meetings and special events
  • Sorts, logs, and delivers mail – file as needed
  • Responsible for ordering office supplies for assigned group and keep the supply rooms fully stocked and orderly
  • Coordinates travel arrangements and assists with special projects as needed

Impact:

  • Erroneous decisions or recommendations would possibly result in delays and modifications to project/operations; possibly cause expenditure of time, human resources and funds

Liaison:

  • Frequent contacts with equivalent level inter-organizational associates concerning projects, operations decisions, scheduling requirements or contractual clarification. Attends briefings and technical meetings for internal and external representatives

 

EDUCATION:

College degree strongly preferred or equivalent advanced administrative experience

 

EXPERIENCE:

3-5+ years experience in all aspects of operations

SKILLS REQUIRED:

  • Excellent communication and presentation skills
  • Strong project management skills- ability to identify and develop initiatives, programs, and processes with varying lead times and multiple steps, while addressing day-to-day demands to ensure all functional areas are meeting commitments
  • Ability to recommend and implement new solutions and alternative approaches which address the unique circumstances of each situation
  • Strong analytical skills with the ability to assess results and identify and communicate trends and issues
  • Ability to communicate directly, specifically and constructively, both verbally and in writing
