Position Title: RCD Administrative Assistant

External Description:

JOB SUMMARY:

  • This position will provide administrative support to the office/practices by making them more efficient and productive
  • Provides administrative/analytical support; specific operations/support role; project driven; exhibits some technical skills; provides some leadership and development of others

 - Administrative Responsibilities

  • Responsible for all projects assigned to team. Help meet established schedules and resolve technical or operational problems.  Follows centralized functional projects.
  • Provide administrative assistance to staff in their daily and special project duties
  • Interact with candidates, client and employees throughout the recruiting process
  • Inputting, updating and maintaining database(s) including resumes, contact information, client information, job orders, notes and hiring of candidates. Assist in maintaining the integrity of data
  • Process, maintain and track employee expenses. Maintain proper documentation
  • Create and revise start/end letters based on request of recruiter/practice
  • Maintain, update and distribute job order tracking sheets based on needs of practice
  • Assist with staffing payroll based on needs of practice
  • Create marketing packets based on needs of practice
  • Submit, track and review candidate background checks and drug screenings
  • General administrative duties including scanning, copying, faxing, filing, typing correspondence and maintaining related paperwork
  • Participate in preparation and follow-up for job fairs, business expos, etc…
  • Responsible for maintaining ongoing inventory and ordering of office supplies and marketing materials
  • Maintain appearance of office/lobby area daily
  • Special projects as assigned by supervisor

 - Front Desk/Reception Responsibilities

  • Interact with candidates, clients and employees
  • Answer incoming call and direct to employee/practice
  • Maintain general office number voicemail box
  • Meet and greet candidates and clients
  • Handle outgoing and distribute incoming mail. File as needed
  • Handle outgoing deliveries and distribute incoming packages
  • Ensure proper front desk coverage

EDUCATION:

  • High school diploma or equivalent required
  • Some college preferred

 EXPERIENCE:

  • 2 – 4 years of administrative support experience in a high-volume, fast-paced office environment

SKILLS REQUIRED:

  • Proficient with Microsoft Office tools including Word, Excel, PowerPoint
  • Strong customer focus and customer service skills
  • Excellent communication and organizational skills
  • Ability to be a team player
  • Ability to handle multiple job related tasks simultaneously
  • Excellent time management skills, demonstrated sense of urgency
  • Possess strong interpersonal skills and demonstrated ability to analyze, explain, and draw logical conclusions from complex operational, financial, regulatory and/or business data
  • Experience describing and documenting specific requirements
  • Must be detail oriented with a concern for quality expressed by continually initiating system and process improvements
